Ravola, a TraqField company
Privacy policy
Last updated October 14, 2026
This policy explains what information Ravola collects, why, who we share it with, and the choices you have. Ravola is operated by TraqField, Inc., Pasadena, California. If anything here is unclear, write to [email protected].
Who this policy covers
Two groups of people meet Ravola:
- Customers: businesses that sign up for Ravola, and the people on their team who use the dashboard.
- Callers: people who phone, chat with or book through a business that uses Ravola.
For callers, we handle information on behalf of the business they contacted, and the business decides how it is used. If you called a business and have a question about your information, you can ask that business, or write to us and we will pass your request on.
What we collect
From customers:
- Account details: name, work email, business name and password (stored only in a scrambled, one-way form).
- Workspace content: business hours, services, answers to common questions, greetings, locations, phone numbers and other settings you enter.
- Billing details: your plan and payment status. Card numbers are collected and kept by Stripe, not by us.
- Activity: sign-ins, settings changes and automated actions recorded in your workspace audit trail.
From callers, when they contact a business that uses Ravola:
- The phone number they call from, and the time and length of the call.
- What they say during the call, which is processed to understand and answer them, and the resulting transcript and summary.
- A recording of the call, only if the business has turned recording on. Callers hear an announcement first.
- Details they choose to give, such as their name, address, the reason for the call, or a booking request.
- Messages and booking requests sent through a business's website chat or booking page.
How we use it
- To answer calls, book appointments, take messages, transfer calls and send summaries, as each business has set up.
- To run your account: sign-in, billing, support and the notifications you choose.
- To keep the service secure: preventing abuse, investigating problems and protecting accounts.
- To keep the service working reliably, such as fixing errors and measuring how many minutes are used.
Call recordings
Recording is off unless a business turns it on. When it is on, callers hear an announcement before recording starts. Businesses are responsible for following the recording and consent laws that apply to them, including states such as California that require everyone on the call to agree.
How long we keep it
Each business chooses how long its call data is kept, in its workspace settings. Account and billing records are kept while the account is open, and afterwards for as long as we need them for legal, tax or accounting reasons. When information is no longer needed, we delete it or remove details that identify a person.
How we protect it
- The website and app are served over encrypted connections.
- Each business has its own workspace. Its calls, contacts and settings are never visible to another customer.
- Accounts can use two-factor sign-in, and businesses control what each team member can access.
- Changes to settings and automated actions are recorded in an audit trail.
Cookies
We use only the cookies needed to keep you signed in and to complete two-factor sign-in. We do not use advertising cookies, and we do not use analytics or tracking cookies on the website.
Your choices and rights
You can ask us to tell you what personal information we hold about you, to correct it, or to delete it. Customers can update most account details themselves in the dashboard. Send any other request to [email protected]. We may need to confirm your identity first, and we will not treat you differently for making a request.
California residents have the right to know what personal information we collect and how we use and disclose it, to request deletion or correction, and to opt out of the sale or sharing of personal information. We do not sell or share personal information, so there is nothing to opt out of. You can make a request yourself or through an authorized agent.
If you are a caller and your request is about a call to a business, we may ask that business to respond, because it controls that information.
Children
Ravola is a service for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.
Where information is stored
Ravola operates its servers in the United States. Some of our service providers may process information in other countries, under their own data protection terms.
Changes to this policy
When we change this policy, we update the date at the top. If a change is significant, we will also email account owners before it takes effect.
